Dwelling Finders Limited · Version 2026-10-25.1 · Updated 25 October 2026
Privacy Notice
This notice describes how Dwelling Finders Limited handles personal data when you use Dwelling Finders. We operate a local homes, stays, food, shops and services marketplace in Narok. We act as a data controller for the purposes we determine. This notice supplements feature-specific notices shown in community support and other forms.
1. Information we collect
- Accounts: name, email, phone if provided, password hash, selected membership, account and security records. Property owners are asked for a national ID number for owner verification.
- Listings and provider profiles: business/property details, prices, location, contact information, photographs, portfolio links and submitted materials. Freelancers may submit a PDF CV for review.
- Enquiries and orders: information you enter in a visit request, shop order or other enquiry, including name, email, phone, message, preferred date and the listing or product concerned. The relevant lister receives the information needed to respond.
- Marketplace assistant: Natasha chat messages and generated replies are saved with a conversation identifier and, for signed-in accounts, associated with the account. The service may derive housing preferences (for example budget, bedrooms or preferred area) from messages to improve later search results.
- Community support: guided check-in responses are used to show the support options you request. Optional AI conversation sends your message and up to eight preceding displayed messages to Groq only if you select the AI option. Room participation requires a separate age/rules confirmation; custom room messages are sent to Groq for moderation. Room data is temporary and the support page explains room cleanup and its limits.
- Technical data: essential session and security data needed for sign-in, CSRF protection, rate limiting and service operation. The app does not intentionally use account signup for advertising profiles.
2. Why we use it
We use information to create and secure accounts; review listers and listings; operate search, saved homes, enquiries and order requests; connect a customer with a relevant provider; deliver requested community support; moderate abuse; prevent fraud; maintain service records; and meet legal obligations. We limit information to the relevant feature where practicable. We do not sell member contact details as a data product.
3. Sharing and service providers
We share a visit or order enquiry with the relevant lister and our authorized administrators so they can handle it. Authorized administrators can access records for review, support, security and operations. Listing materials approved for publication are visible to site visitors. We use hosting, email, SMS and AI service providers to operate features. When Natasha is available, each message you submit and up to 14 recent conversation messages are sent to Groq to generate a reply. A provider may process data outside Kenya. Before an international transfer, we will put in place the safeguards required by law; contact us for applicable transfer information. Do not include sensitive personal details in public listings or ordinary AI chats.
4. Legal basis and choices
Depending on the feature and applicable law, processing is based on steps requested by you, performance of the relevant service, our legitimate operational and safety interests, legal obligations, or your separate consent. Signup acceptance records your agreement to the Terms and confirms that the Privacy Notice was presented; it is not consent to unrelated optional processing. AI use and peer-room participation have their own controls. You can decline optional AI and still use the non-AI options available in that feature.
5. Retention and security
Our application retention schedule removes Natasha conversations and inferred preferences after 12 months without activity, completed or declined privacy requests after 24 months, cancelled visit requests after 24 months, and SMS notification records after 24 months. The scheduled cleanup must be enabled on the production host. Community room messages are temporary and handled under the room-specific expiry rules shown on the support page; backups, screenshots and provider records may persist separately. Active accounts and active enquiries are kept while needed to provide the service; accounting, dispute, security or legal records may be retained where required. Listing submissions, uploaded CVs and database backups need periodic manual review under the operator's retention schedule. We use access controls, password hashing, CSRF protections and encrypted storage for specified community-room data. Owner national ID numbers are encrypted with a host-held key and masked in profile and admin screens. Existing installations must encrypt legacy IDs before accepting new owner signups, and the encryption key must be kept separate from database backups. No internet service can guarantee absolute security; report concerns promptly.
6. Your rights
Subject to applicable law, you can request information about use of your data, access or a copy, correction, deletion, objection, restriction or portability where available. You can also withdraw consent for future processing where consent is the basis. We may need to verify your identity proportionately before acting, and may explain if a legal exception applies. Submit a request through our privacy request form or email support@dwellingfinders.co.ke. Please do not email identity documents unless we first provide a secure, necessary method. You may complain to the Office of the Data Protection Commissioner (ODPC).
7. Children and sensitive information
Account registration and peer mentor applications are intended for adults. Do not submit another person’s sensitive information without authority. The peer-support feature may involve personal or health-related concerns; it is not a diagnostic service, and we ask you to share only what is needed to seek support. See its separate privacy details before participating.
